If there’s one thing I’ve learned after designing custom wedding signs and stationery for hundreds of couples across Austin and the Hill Country, it’s that the questions are almost always the same, and the confusion is real. Between Pinterest rabbit holes and vendor questionnaires, figuring out what signage you actually need (and what you don’t) can feel overwhelming fast.
So I’m answering the top 10 wedding sign questions I get asked most, straight from my inbox to yours.
Short answer? Yes, and here’s why. Most guests encounter the seating chart during cocktail hour, on their way into the reception. It’s one of the first design moments they experience, and it sets the tone for everything that follows. Nobody wants to walk into dinner confused about where they belong.
If you’re having a plated dinner, this one isn’t even optional – your caterer will require it. And even if you’re not assigning specific seats at each table, at minimum you’ll want to guide guests to a general table so they’re near people they know and will feel comfortable. It’s one of those small details that makes a big difference in how smoothly, and beautifully, your evening flows.

This one really depends on two things: your design inspiration and your guest count. A more intimate gathering might call for something refined and smaller in scale, while a larger wedding calls for a statement piece guests can spot from across the venue. Great question, and one that comes up constantly. A seating chart is a single display (think an acrylic panel, oversized wooden display, framed print, or mirror) that lists all of your guests and their assigned tables in one place. Escort cards are individual cards, one per guest or couple, that guests pick up and take with them to find their seat. Both serve the same function, but they create a very different experience and aesthetic.

And here’s something that might surprise you – escort cards don’t have to mean a simple card on a table. Some of our most stunning installations have been large-scale escort card displays: think elaborately styled setups with florals, custom frames, or architectural elements that become a true statement moment during cocktail hour. The sooner, the better! Most of our couples book us 6-8 months out, and that’s the sweet spot. It gives us time to really dig into the design, refine the details, and produce everything beautifully without rushing.

Splurge on the pieces that make the most sense, help with guest experience and logistics, and elevate the flow of the day first, then layer in the extra details that feel meaningful to you.

I know that last one surprises people, but here’s why it matters: seating charts take significant time to design based on actual guest names, spacing, and layout. It’s far easier for us to remove names as you get closer to production (which begins 4-5 weeks out) than to start from scratch with no list at all. Getting us that template early is one of the best gifts you can give yourself, and us, during the planning process.
